Booking & cancellation terms

These Booking & Cancellation Terms apply to all daily excursions and activities booked through Antalya Trips.

1. Organiser

Excursions offered through Antalya Trips are organised and/or sold by:

4 S Bilgi İşlem Turizm Seyahat Reklam İthalat Ve İhracat Ticaret Limited Şirketi SunMed Travel Agency TÜRSAB Licence No.: 12195 Siteler Mah. 206 Sok. No. 2 K. 1 D. 111 48700 Marmaris / Muğla / Türkiye

By completing a booking, the customer confirms that they have read and accepted these Booking & Cancellation Terms, together with the specific information, inclusions, exclusions and conditions displayed on the relevant tour page.

2. Booking and Confirmation

A booking becomes confirmed only after:

  1. the required payment has been successfully completed; and
  2. a booking confirmation and/or voucher has been issued by Antalya Trips.

A payment attempt, payment authorisation or incomplete transaction does not by itself constitute a confirmed reservation.

The customer is responsible for checking the confirmation and voucher immediately after receipt and for ensuring that the name, date, number of participants, pickup location, contact details and other booking information are correct.

Any error must be reported to us as soon as possible.

A reservation is made based on the information supplied by the customer. We are not responsible for consequences arising from incorrect, incomplete or outdated information supplied by the customer, including an incorrect telephone number, email address, hotel name, pickup point or passenger information.

Where a tour requires a minimum number of participants, special operating conditions or supplier confirmation, the booking may remain subject to such conditions. In such circumstances, the customer will be informed and the available alternatives or refund options will be provided where applicable.

3. Prices, Payment and Tour Inclusions

The price payable is the price displayed at the time the booking is completed and confirmed.

The tour price includes only the services expressly stated as included on the relevant tour page or voucher.

Items expressly stated as not included, paid locally, optional, or otherwise excluded from the tour price are payable separately by the customer.

Examples may include entrance fees, personal expenses, food and drinks not specifically included, optional activities, photographs, gratuities and other services not expressly included in the booking.

Payment may be made by the payment methods displayed on the website.

For card payments, payment processing and 3D Secure authentication are performed through the relevant payment service provider and/or acquiring bank. We do not store complete card details.

Prices, availability and tour conditions may vary until the booking has been successfully completed and confirmed.

4. Cancellation by the Customer

Unless a different cancellation policy is expressly stated on the relevant tour page or voucher, the following cancellation policy applies to daily excursions.

Cancellation periods are calculated according to the scheduled local tour start/pick-up time in Türkiye.

Cancellation more than 168 hours before the tour

The customer may cancel the booking and receive a 50% refund of the amount paid.

The remaining 50% is non-refundable and may cover booking, administration, payment processing, supplier-related and other costs associated with the reservation.

Cancellation between 48 and 168 hours before the tour

The customer may cancel the booking and receive a 30% refund of the amount paid.

The remaining 70% is non-refundable.

Cancellation less than 48 hours before the scheduled tour

No refund will be provided.

Same-day cancellation

Cancellation on the day of the tour is treated as a late cancellation and no refund will be provided.

No-show

Failure to attend the tour at the confirmed pickup point and time is treated as a No-Show and no refund will be provided.

Cancellation requests must be submitted through an identifiable written communication channel, such as email or WhatsApp, and are effective only when received by Antalya Trips.

A telephone conversation with a driver, guide, hotel employee or other third party does not constitute a confirmed cancellation unless the cancellation has been communicated to and acknowledged by Antalya Trips.

Where a specific tour has a different cancellation policy, the specific policy displayed on the relevant tour page and/or voucher takes precedence.

5. Date Changes and Booking Amendments

Requests to change the tour date, passenger number, pickup location or other booking details are subject to availability and operational feasibility.

A date change is not guaranteed and becomes effective only after written confirmation from Antalya Trips.

Where permitted, a booking may be transferred to another available date once.

A request made less than 48 hours before departure may be treated as a cancellation and the applicable cancellation conditions may apply.

Any additional cost resulting from a change in date, passenger number, tour type, pickup location, supplier price or other booking condition may be payable by the customer.

A reduction in the number of participants may be treated as a partial cancellation and the applicable cancellation policy may apply to the cancelled participants.

6. No-Show, Late Arrival and Missed Pickup

The customer must be at the confirmed pickup location at the exact time stated on the voucher or confirmation.

The customer is responsible for allowing sufficient time to reach the pickup point.

If the customer:

  • does not appear at the pickup point;
  • arrives after the vehicle has departed;
  • cannot be located at the confirmed pickup point;
  • provides an incorrect hotel, address or pickup location;
  • fails to answer reasonable attempts to contact them;
  • misses the tour due to personal circumstances;
  • is unable to join the tour because they do not possess required travel documents; or
  • otherwise fails to attend the tour,

the booking may be classified as a No-Show.

No refund will be provided for a No-Show.

Where operationally possible, and entirely at our discretion, we may offer a change to another available date. Any additional cost may be charged to the customer.

Traffic, delayed flights, delayed ferries, missed connections, personal delays or other circumstances affecting the customer's arrival at the pickup point do not automatically entitle the customer to a refund.

7. Pickup and Transportation

Pickup times stated on the booking confirmation are approximate unless expressly stated otherwise.

Customers must follow the pickup instructions provided by Antalya Trips.

Minor changes to pickup times, vehicle type, route sequence or pickup arrangements may be made for operational, traffic, safety or logistical reasons.

Where a customer is staying outside the standard pickup area, an alternative meeting point or additional transfer charge may apply.

If the customer fails to provide correct accommodation or pickup information, we cannot guarantee pickup and the booking may be treated as a No-Show.

8. Changes to the Tour by Us

We reserve the right to make reasonable changes to the itinerary, route, vehicle, departure time, pickup arrangements, guide, activity sequence or service provider where such changes are reasonably necessary for:

  • safety;
  • weather conditions;
  • traffic;
  • road, port or local authority restrictions;
  • operational requirements;
  • supplier availability;
  • insufficient participation;
  • maintenance or mechanical problems;
  • force majeure; or
  • circumstances outside our reasonable control.

Where a change does not materially affect the essential nature of the booked tour, it will not normally constitute grounds for a refund.

Where a material change prevents the tour from being provided as booked, we will, where reasonably possible, offer an alternative arrangement.

If no reasonable alternative is available, the applicable amount paid for the affected service will be refunded in accordance with applicable law.

9. Cancellation by Us

We reserve the right to cancel a tour where operation is prevented or materially affected by circumstances including, but not limited to:

  • severe or unsuitable weather;
  • sea or road conditions;
  • official restrictions;
  • safety concerns;
  • mechanical failure;
  • supplier cancellation;
  • insufficient participation;
  • strikes;
  • natural disasters;
  • public emergencies;
  • force majeure; or
  • other circumstances beyond our reasonable control.

If we cancel the tour before it starts for reasons attributable to us or because the service cannot reasonably be provided, the customer will be offered an alternative date or, where applicable, a refund of the amount paid for the cancelled service.

No additional compensation will be payable for consequential or indirect losses such as flights, accommodation, meals, alternative transportation, lost working time or other expenses unless such compensation is required by mandatory applicable law.

10. Weather and Sea Conditions

Certain excursions are dependent on weather, sea and other environmental conditions.

The final decision regarding whether an excursion can safely operate rests with the organiser, captain, driver, guide or other appropriately responsible operational personnel.

Weather forecasts alone do not determine whether a tour will operate.

If the tour can safely operate, adverse weather conditions do not automatically create a right to cancellation or refund merely because the customer considers the conditions undesirable.

Where weather or sea conditions make the operation unsafe or impossible and the tour is cancelled by us, the customer will be offered an alternative date or an applicable refund.

11. Force Majeure and Circumstances Beyond Our Control

We shall not be responsible for failure, delay or modification of services caused by events beyond our reasonable control.

Such circumstances may include, without limitation:

  • extreme weather;
  • storms or adverse sea conditions;
  • natural disasters;
  • fire;
  • epidemic or pandemic-related restrictions;
  • war or threat of war;
  • terrorism or security incidents;
  • strikes or industrial action;
  • road closures;
  • port closures;
  • government or local authority decisions;
  • border restrictions;
  • technical or mechanical failures;
  • supplier failures;
  • power or communication failures; and
  • other events which could not reasonably have been prevented or avoided.

Where such circumstances occur, we will take reasonable steps to minimise their effect on the customer and, where possible, offer an alternative service or date.

12. Customer Responsibilities

Customers are responsible for:

  • providing accurate booking information;
  • arriving at the pickup point on time;
  • following the instructions of guides, drivers, captains and crew;
  • complying with safety instructions;
  • behaving appropriately towards staff and other participants;
  • carrying any documents required for the excursion;
  • obtaining any visa, permit or travel document required for their own circumstances;
  • informing us in advance of any mobility, dietary or other special requirement; and
  • ensuring that they are physically and otherwise able to participate safely in the booked activity.

Customers must not participate while under the influence of alcohol, drugs or any other substance where doing so could endanger themselves, staff or other participants.

We reserve the right to refuse or discontinue participation where a person's conduct or condition creates a genuine safety risk or materially disrupts the excursion.

No refund will normally be provided where a customer is unable to participate because they failed to meet a stated tour requirement or ignored reasonable safety instructions.

13. Personal Belongings

Customers remain responsible for their personal belongings throughout the excursion.

We are not responsible for loss, theft or damage to personal belongings unless liability cannot lawfully be excluded.

Customers should not leave valuables unattended in vehicles, boats, restaurants, activity areas or other locations.

14. Health, Medical and Safety Information

Customers must inform us before departure of any medical, mobility, dietary or other condition that may reasonably affect their participation or safety.

Some excursions may involve swimming, boating, walking, climbing, uneven surfaces, heat, physical activity or other inherent risks.

The customer is responsible for assessing whether the activity is appropriate for them and for following all safety instructions.

Where a particular activity has additional age, health, swimming ability, weight, mobility or other participation requirements, those requirements form part of the booking conditions.

15. Children and Minors

Children must be accompanied and supervised in accordance with the requirements stated on the relevant tour page.

The customer is responsible for ensuring that children and minors comply with applicable safety instructions.

Where an activity has age restrictions, the customer must provide accurate age information when booking.

We reserve the right to refuse participation where the information supplied at the time of booking is materially incorrect.

16. Third-Party Services and Suppliers

Some excursions may include services provided by independent third-party suppliers, including transportation companies, boats, restaurants, activity operators, guides and other service providers.

We carefully select and coordinate such services; however, the operation of individual components may depend on the supplier's availability, operational requirements and applicable local conditions.

Where a third-party service is changed for legitimate operational or safety reasons, we may provide a comparable alternative where reasonably possible.

Nothing in these terms excludes or limits any liability or consumer right that cannot legally be excluded or limited.

17. Refunds

Where a refund is due, it will normally be processed to the original payment method.

Bank and payment-provider processing times may vary.

Although we initiate eligible refunds without undue delay, the time required for the funds to appear in the customer's account depends on the payment provider and issuing bank.

Unless otherwise required by applicable law, refunds are not made in cash or to a different payment method.

Any bank, card, currency conversion or intermediary costs outside our control are not our responsibility.

18. Complaints and Service Issues

If a customer experiences a problem during the excursion, they should notify our representative, guide, driver or contact team as soon as reasonably possible, preferably while the service is still being provided.

This gives us a reasonable opportunity to investigate and, where possible, correct the problem during the excursion.

Complaints submitted only after the excursion has ended may still be considered, but we may not be able to verify or remedy matters that could reasonably have been addressed during the service.

Customers should provide relevant booking details and supporting evidence where appropriate.

Nothing in this section restricts any mandatory statutory rights available to the customer.

19. Liability

We are responsible for providing the services that we have expressly undertaken to provide, subject to applicable law.

To the maximum extent permitted by law, we are not responsible for indirect or consequential losses, loss of opportunity, loss of income, missed flights, missed connections, additional accommodation, personal expenses or other consequential costs arising from circumstances outside our reasonable control.

Nothing in these terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law, including liability arising from death or personal injury caused by negligence where such liability cannot legally be excluded.

20. Travel Documents and Border Requirements

For excursions involving international travel or border crossings, the customer is solely responsible for carrying valid passports, visas, permits, insurance documents and any other required travel documentation.

We may provide general travel information, but responsibility for meeting entry and travel requirements remains with the customer.

A customer who is refused entry by a border or immigration authority, or who cannot travel because of inadequate documentation, will not automatically be entitled to a refund.

Any refund in such circumstances will be subject to the applicable cancellation conditions and the circumstances of the booking.

21. Photos and Promotional Material

Photographs or videos may occasionally be taken during excursions for operational, documentation or promotional purposes.

Where identifiable customer images are intended for promotional use, any required consent will be obtained in accordance with applicable law.

22. Data Protection

Personal information supplied during the booking process is processed for purposes including reservation management, payment processing, customer communication, service delivery, legal and accounting obligations and other legitimate business purposes, in accordance with applicable data protection legislation and our Privacy Policy.

Payment card information is processed through the relevant payment provider and/or acquiring bank and is not stored by us in full.

23. Communication

The customer agrees that booking-related communications may be sent using the contact details provided during the booking process, including email, telephone, SMS or WhatsApp where appropriate.

The customer is responsible for providing a functioning telephone number and email address and for checking booking-related communications before the excursion.

Failure to receive a communication because incorrect or inaccessible contact information was provided by the customer does not automatically invalidate the booking.

24. Applicable Law and Consumer Rights

These terms are governed by the laws applicable in the Republic of Türkiye.

Nothing in these terms is intended to remove, restrict or unlawfully limit any mandatory consumer right or legal protection applicable to the customer.

Where a provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue to apply to the extent permitted by law.

Any dispute shall be handled in accordance with the mandatory jurisdiction and dispute-resolution rules applicable under Turkish consumer legislation.

25. Specific Tour Conditions

Certain excursions may have additional conditions relating to:

  • minimum or maximum age;
  • minimum number of participants;
  • swimming ability;
  • health or mobility;
  • weight or equipment restrictions;
  • pickup areas;
  • weather conditions;
  • cancellation deadlines;
  • passport or visa requirements;
  • entrance fees;
  • meals and beverages;
  • optional activities; or
  • other operational requirements.

Where such conditions are clearly displayed on the relevant tour page, booking form, confirmation or voucher, they form part of the booking conditions and shall apply to that specific excursion.

Where a specific tour has a cancellation policy that differs from the general cancellation policy stated in Section 4, the specific cancellation policy displayed on that tour's booking page and/or voucher shall take precedence.

26. Acceptance of Terms

By completing a booking, the customer confirms that:

  1. the booking information supplied is accurate;
  2. they have reviewed the tour description and inclusions/exclusions;
  3. they have reviewed the applicable cancellation conditions;
  4. they understand the pickup and attendance requirements;
  5. they agree to comply with reasonable safety and operational instructions; and
  6. they accept these Booking & Cancellation Terms, subject to any mandatory rights provided by applicable law.
